Cancellation & Refund Policy
Cancellation Requests
All cancellation requests must be submitted in writing to your company travel consultant through the officially approved communication channels.
Unless otherwise stated in the quotation, the following terms apply:
- From booking date up to 61 days prior to departure:
The deposit is non-refundable. - 60 to 46 days prior to departure:
25% of the total trip cost will be charged. - 45 to 29 days prior to departure:
50% of the total trip cost will be charged. - 28 to 15 days prior to departure:
75% of the total trip cost will be charged. - 14 days or less prior to departure:
100% of the total trip cost will be charged.
Subject to availability, paid amounts may be converted into a future travel credit for use within a specified period, instead of full cancellation.
Flight Tickets
Flight tickets are subject to the terms and conditions of the airline and fare type.
Some tickets, particularly promotional or low-cost fares, may be non-refundable.
Amendment or cancellation fees may apply in accordance with the airline’s policy.
Event Tickets
Event tickets are subject to the policies of the event organizer.
Important Notes
- In cases where certain services are non-refundable by suppliers, additional charges may apply. These will be communicated to the client in advance.
- Early booking is recommended to benefit from greater flexibility in amendments or cancellations.
- Travel insurance is strongly recommended to cover unforeseen and emergency situations.
Cancellation by Arabia Guide Travel
The company reserves the right to cancel a trip under the following circumstances:
- Failure to settle the remaining balance at least 60 days prior to departure. In such cases, the booking will be considered canceled and the cancellation policy will apply.
- Operational reasons or circumstances beyond control.
In all cases:
- We will endeavor to offer a similar or superior alternative whenever possible.
- If this is not feasible, a full refund of the amount paid will be issued.
Force Majeure
Force majeure includes circumstances beyond control such as:
wars, natural disasters, severe weather conditions, strikes, pandemics, or sudden changes in flight schedules.
In such cases:
- Suitable alternatives will be offered where possible, or a fair refund will be provided based on unused services.
- The company shall not be liable for any additional compensation beyond the value of the booking.
Claims & Refunds
- Refunds for unused services will only be considered if there is a valid and ed reason.
- All claims must be submitted within 30 days of trip completion.
- Claims submitted after this period will not be considered, except in exceptional cases.
- Refunds will be calculated based on the actual value of the unused services.
- Any refund issued will not exceed the amount actually paid.
